Project overview

I built an n8n receptionist workflow that answers Facebook messages and guides patients through dental appointment requests. It uses a Google Docs knowledge base for clinic information and Google Sheets for appointment records. The workflow supports new bookings, checking appointments linked to the current Facebook account, rescheduling, cancellations, and edits to appointment details.

The problem

  1. A patient’s message can be a clinic question, a new booking, or a request to change an existing appointment. Each task needs the right information. The assistant has to follow clinic rules, gather required details, check appointment availability, and protect patient records.
  2. I built the workflow to handle one task at a time. When information is missing, it asks for it. When a clinic fact cannot be verified from the knowledge source, it is instructed not to guess.

How it works

  1. A patient sends a message through Facebook Messenger, and a webhook passes the event to n8n.
  2. The workflow loads appointment records associated with that Facebook account.
  3. For clinic questions, the assistant checks the Google Docs knowledge base before replying.
  4. For a new booking, it collects the patient’s name, mobile number, email, service, date, and time. It checks the request against clinic rules, then checks slot availability and possible duplicates.
  5. The assistant shows the complete booking details and waits for the patient’s direct confirmation before calling the booking workflow.

Privacy and booking checks

Appointment lookup and slot availability are separate checks. A Facebook account may be used for bookings under more than one family member, so the assistant must identify the correct appointment before discussing it. For availability, the assistant uses only the available or unavailable result. It is instructed not to reveal who else may have booked that time or share their appointment details. A new booking also requires complete information, a valid schedule, and the patient’s confirmation before it is written to Google Sheets.

What the receptionist can handle

  • Answer clinic questions using information from the Google Docs knowledge base.
  • Create a new appointment after the required checks and patient confirmation.
  • Show appointment information linked to the current Facebook account.
  • Reschedule, cancel, or edit an existing appointment.
  • Decline requests unrelated to the clinic.
